How to price garage labour rates in the UK

Setting a labour rate by copying the garage down the road is a fast way to lose money. Their costs are not your costs. The right rate is the one that covers your wages and overheads and still leaves a profit — and working it out is simpler than it looks.
Start with your real costs
Two buckets. First, the fully-loaded cost of your mechanics — not just the wage, but employer’s NI, pension and holiday cover. Second, your fixed overheads: rent or mortgage, utilities, insurance, tools and equipment, software, and your own time running the place. Add them up across a year.
Then count your billable hours — honestly
Here is where most garages go wrong. A mechanic is paid for around 40 hours a week, but you cannot invoice all of them. Between tea breaks, moving cars, waiting on parts, cleaning up and admin, genuinely billable time is often nearer 30 hours. Multiply realistic billable hours by the weeks you actually work in a year (allow for holidays), across all your mechanics.
The break-even rate
Divide your total annual cost by your total billable hours and you get your break-even rate — the hourly figure where you cover everything and make exactly nothing. Charge that and you are running a very busy charity. It is the floor, not the price.
Add your margin
On top of break-even you add a net profit margin — commonly 15–25% for a small workshop. That margin is what funds new equipment, a buffer for the quiet months, and paying yourself properly. The result is your recommended charge-out rate.
Work it out in 30 seconds
Rather than wrestle a spreadsheet, use our free garage labour rate calculator. Put in your number of mechanics, their cost, realistic billable hours, your overheads and a target margin, and it gives you both the break-even and the recommended rate. Adjust the numbers and watch the rate move — it makes the trade-offs obvious.
Charge with confidence
Once you know your real rate, you can hold it without flinching, and explain it if a customer queries it. Knowing your numbers — and keeping jobs, parts and invoices tidy so nothing leaks — is most of running a profitable garage. Garage Desk helps with the second half; the calculator sorts the first.
