Going paperless: replacing paper job cards in a UK workshop

Nobody defends the paper job card, exactly — they defend the habit. It is fast to scribble on, it lives on the windscreen, and it has worked for thirty years. But count what paper actually costs a workshop in a month and the habit looks expensive: the card that went through the wash, the extra hour that never reached the invoice, the “did we do the brake fluid or not?” conversation with no record either way.

What paper really costs

  • Unbilled work. Anything scribbled on the card but not carried to the invoice is a free gift. Across a year this is usually the biggest leak in the building.
  • No history.When the customer rings about last spring’s repair, the card is in a box — or a skip.
  • One copy, one place. The card cannot be at the front desk and under the ramp at once, so someone is always walking or shouting.

Start with the job card, not the whole garage

Going paperless fails when it is a big-bang project. It works when you change one artefact: the job card becomes a screen instead of a sheet. Same information — customer, vehicle, work requested, parts, labour, notes — but it is created at booking, visible on every phone in the building, and nothing on it can be lost.

A phone camera is the most underrated workshop tool. Photograph the worn disc, the corroded arm, the dent that was there on arrival — attached to the job, timestamped. Paired with digital inspections, the “you never told me about that” conversation mostly stops happening, because the evidence went to the customer before the work did.

Bring the technicians with you

The switch lives or dies on the ramp, not the office. Three rules that make it stick:

  • Phone-first, not PC-first. If a tech has to walk to an office computer, paper wins. The system must work on the phone already in their pocket.
  • Less typing than writing. Reg lookup fills the vehicle in, saved part and labour lines fill the job in. Typing more than they used to write is a mutiny waiting to happen.
  • Run parallel for one week. Paper and digital side by side for a week, then paper stops. Longer than that and the old habit never dies.
